Membership

Purpose:

The purpose of the Membership Committee is to foster a vibrant, active, and engaged community within our organization. We aim to provide a platform where members can contribute their skills, expertise, and perspectives to further the organization’s goals. Our structure is designed to promote active participation, open dialogue, and equal representation, ensuring that every member’s voice is heard and valued. Our aim is to enable every member to have a say in our collective decisions and future path, which in turn fortifies our commitment to democracy and the preservation of our unique identity.

 

Through active participation in organizational pillars, regular attendance at meetings, and adherence to a professional code of conduct, members play a crucial role in shaping the direction and success of the organization. Our commitment to collaboration, respect, and shared responsibility makes us more than just a committee - we are a community united by a common purpose.

Who Can Be A Member:​

Membership is open to a group of individuals who are 18+ that play a crucial role in our organization. This includes coaches, who bring their expertise and guidance, and lead roles, who provide direction and leadership. In addition, we welcome advocates who support our athletes. However, to maintain a balanced representation, we limit this to two advocates per athlete/household. This structure ensures a diverse yet manageable membership, fostering a productive and inclusive environment.

Parent/Guardian(s) of an athlete can choose who they wish to represent as their athlete's advocate. This could include but is not limited to a parent, legal guardian, bonus-parent, grandparent, relative, etc. Even if a family has multiple athletes participating in the program, the limit of TWO advocates per family still applies. Parent/Guardian(s) are not required to become members but are encouraged to participate.

Fee:

Members are required to pay an annual membership fee of $25. This fee contributes to the operational costs of the organization and supports the various activities and initiatives we undertake.

Enrollment Period:​

Our membership enrollment period is a specific window that opens on May 1st and closes on July 31st. This is the only time in the year when we accept new members. If you choose not to join during this period, you will have to wait until the next year’s enrollment period to apply for membership. We encourage you to take advantage of this opportunity while it’s available.

Membership Perks

As a member of our organization, you are entitled to a variety of perks that enhance your involvement and influence within the group:

1.  Voting Rights: Members have the privilege to vote on organizational matters. This allows you to have a direct impact on the decisions and direction of the organization.

2.   Pillar Participation: As a member, you have the privilege to participate and lead within a pillar of the organization. This enables you to contribute your skills and expertise to a specific area of interest, furthering the goals of the organization.

These perks not only enrich your experience as a member but also empower you to shape the future of our organization. Your active participation is greatly appreciated.

Voting Rights

As a member of our organization, you have the privilege of participating in the decision-making process through voting. Here are the key points to remember:

  • One Vote Per Member: Each member is entitled to one vote. This ensures that all members have an equal say in the decisions that shape our organization.

  • Presence at Meetings: To cast your vote, you must be present at the time of the meeting. This encourages active participation and allows for immediate discussion and decision-making.

  • Majority Ruling: Decisions are made based on a majority ruling. This means that the option with the most votes from present members will be the one that is implemented.

Pillar Participation

Each member is expected to join at least one, but not limited to one pillar of the organization. You can be voted in by the members to participate as a lead role or choose to join a pillar of your choosing as an at large agent. This involvement allows members to contribute directly to the work of the organization, fostering a sense of ownership and commitment. 

 

An ‘At Large Agent’, further referred to as an ALA, holds a unique and adaptable role. Unlike other roles with set responsibilities, an ALA is not assigned any specific duties. The primary obligation of an ALA is to remain available and prepared to contribute when called upon. They act as a versatile resource that their lead can call upon to assist with a project or task. This could range from offering insights on decisions to active involvement in diverse initiatives. The role of an ALA is dynamic, adjusting to the organization’s needs, thereby ensuring a flexible and effective participation structure.

PILLAR 1: Team Management:

This pillar focuses on the coordination and management of our teams, ensuring that everyone is working effectively towards our common goals. The following roles are available within this pillar:

  • (1) Cheer Director

  • (1) Cheer Advisor

  • (1) Equipment Coordinator

  • (1) Internal Events Coordinator

  • (1) Team Representative Facilitator

  • (TBD) Team Representatives

  • Unlimited at large agents 

 

PILLAR 2: Administrative:

This pillar handles the administrative tasks of the organization, including record-keeping, correspondence, and overall organizational management. The following roles are available within this pillar:

  • (1) Treasurer

  • (1) Secretary

  • (1) Scholastics Coordinator

  • Unlimited at large agents

PILLAR 3: Fundraising:

This pillar is dedicated to raising funds to support our activities. This includes planning and executing fundraising events, seeking sponsorships, and managing donor relations.The following roles are available within this pillar:

  • (1) Fundraising Coordinator

  • (1) Fundraising Auditor

  • (1) External Events Coordinator

  • Unlimited at large agents

 

PILLAR 4: Marketing & Media:

This pillar is responsible for promoting our organization and its initiatives, managing our public image, and handling all media-related activities internally and externally. The following roles are available within this pillar:

  • (1) Webmaster

  • (1) Social Media Coordinator

  • Unlimited at large agents

2025 Budget

Election Process

The election for the lead roles within each pillar is an important event in our organization, taking place annually at the conclusion of the competition season in March. Here’s a general explanation of how the voting process works:

  1. Letter of Intent (First Week of March): Starting the first full week in March, members are invited to submit an application for the desired lead role position. The Google form will be shared to current members via Facebook and/or email upon completion of YCADA Globals. Application period will end on the last Sunday of the first full week of March. 

  2. Applicant Review Process (Second Week of March): The current administrative members will review the applications and verify the applicants experience requirements. Once verified, the Secretary will reach out to the applicant to inform them they are approved to campaign.  

  3. Campaign Period (Third Week of March): Following the application period, there is a campaign period for the third week of March, where applicants have the opportunity to share their vision and plans if they were to be elected as the lead. All campaign content (verbiage and pictures) must be submitted to the current Social Media Coordinator at smjocophoenixayc@gmail.com to be posted on the applicants behalf. ** By submitting your picture as part of the application process, you grant our organization the right to use your image. This use includes, but is not limited to, promotional materials, digital platforms, and other communications that align with our brand. We are committed to ensuring that all images are used respectfully and in a manner that upholds the values and reputation of our organization. Please note that we reserve the right to decline the use of any image that we deem inconsistent with our brand. Your submission of a picture constitutes your agreement to these terms.

  4. Voting (Fourth Week of March): After the campaign period, an election date will occur within the fourth week of March. All members will be given the opportunity to vote for their preferred candidates. Members must be present the day of election to cast a vote. Voting will be done electronically using Google Forms. Each member has one vote per role.

  5. Announcement of Results: The votes are then calculated, and the candidate with the most votes in each role becomes the lead. The results are announced to the organization in the JoCo Phoenix AYC facebook group.

Code of Conduct

As a member of our organization, you are expected to uphold the following code of conduct:

  1. Higher Standards: Members are held to a higher standard due to their representative role within the organization. Your actions and behavior reflect on the organization as a whole.

  2. Professional Demeanor: At all times, members are required to maintain a professional demeanor. This includes respectful communication, responsible behavior, and adherence to the organization’s policies and procedures.

  3. Collaboration: Members are expected to work collaboratively with all members of the committee, regardless of personal preferences. Differences should be set aside in the interest of achieving the organization’s goals.

  4. Integrity: We expect all members to act with honesty and integrity. This means being truthful, fair, and transparent in all interactions within and on behalf of the organization.
